How we collect, use and protect your personal information — and the rights you have under POPIA.

Care Equip looks after people at vulnerable moments — after a fall, a stroke, an operation, or as mobility changes with age. The information you share with us often touches on health and family, so we treat it carefully. This page explains what we collect, why, and what you can ask us to do about it.

We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Who we are

Care Equip is the responsible party for the personal information described here. That means we decide why and how it is processed, and we are accountable for it.

As required by POPIA, Care Equip has an Information Officer who is responsible for how we handle personal information and for dealing with any request or complaint you send us. You can reach the Information Officer at technical@careequip.co.za.

What we collect

When you fill in an enquiry form on this website, we collect:

  • Your name
  • Your email address
  • Your phone number
  • Your preferred method of contact
  • The message you write to us
  • A record of the consent you gave — the date and time, your IP address, your browser, and the exact wording you agreed to

We keep that consent record for one reason: POPIA expects us to be able to show that you agreed to be contacted, not merely to claim it.

If you contact us by phone, WhatsApp or email instead, we hold whatever you choose to tell us in that conversation. If you go on to rent or buy equipment, we also keep the details needed to deliver, install, service and invoice it — including a delivery address and, where it is relevant to fitting the equipment safely, some information about the person who will use it.

Information about someone’s health or disability is special personal information under POPIA and carries extra protection. We ask for it only where we genuinely need it to supply the right equipment, we keep it to the minimum, and we do not use it for anything else.

Why we collect it, and on what basis

  • To answer your enquiry. We rely on the consent you give when you tick the box on the form.
  • To supply, deliver, install, service and repair equipment. We rely on the need to perform our agreement with you.
  • To invoice you and keep accounting records. We rely on our legal obligations, including those under tax law.
  • To send you news, offers and equipment updates. Only if you separately opted in. This is never bundled with an enquiry.

Giving us your information is voluntary. But if you do not provide the basics, we cannot reply to you or supply equipment — there is simply no way for us to reach you.

Who else sees it

We do not sell your personal information, and we do not share it with third parties for their own marketing.

We use a small number of service providers (POPIA calls them operators) who process information on our behalf, under contract:

  • Vercel — hosts this website and runs the form that receives your enquiry.
  • Resend — delivers the enquiry from the website into our inbox.

Beyond that, we share information only where we have to: with a courier or technician who needs a delivery address to bring your equipment, with our accountants and bank for payment and record-keeping, or where the law requires us to disclose it.

Where your information goes

Our hosting and email providers operate servers outside South Africa, including in the European Union. This means your enquiry may be processed in another country. POPIA allows this where the receiving country has comparable data protection laws — the EU’s GDPR meets that standard, and both providers are contractually bound to protect your information to the same level we would.

How long we keep it

  • Enquiries that do not lead to business: up to 2 years from your last contact with us, in case you come back to us.
  • Customer and rental records: at least 5 years after the end of our relationship, because tax and company law require it.
  • Marketing consent: until you unsubscribe or ask us to stop.
  • Consent records: for as long as we hold the information the consent relates to.

Once we no longer need it and no law requires us to keep it, we delete it or make it anonymous.

How we protect it

We take reasonable steps to keep your information safe. This website is served entirely over an encrypted HTTPS connection, enquiries travel encrypted from your browser to our inbox, and access to our systems is limited to the people who need it and protected by passwords and multi-factor authentication where it is available.

No system is perfectly secure. If personal information in our care is ever accessed by someone who should not have it, POPIA requires us to notify both the Information Regulator and you, and we will do so as soon as we reasonably can.

Your rights

POPIA gives you real, enforceable rights over your information. You may:

  • Ask what we hold about you, and get a copy.
  • Ask us to correct or complete anything inaccurate or out of date.
  • Ask us to delete information we no longer have a good reason to keep.
  • Object to us processing your information on grounds relating to your situation.
  • Withdraw your consent at any time. This does not undo processing that already happened lawfully.
  • Complain to the Information Regulator.

Email technical@careequip.co.za and we will respond as soon as we reasonably can. Exercising these rights is free, and we will not treat you any differently for it. We may need to confirm who you are first, so that we do not hand your information to someone else.

Marketing

We only send marketing to people who asked for it. The marketing tick-box on our forms is separate from the enquiry consent, is never ticked by default, and leaving it blank makes no difference to how we handle your enquiry.

Every marketing email carries an unsubscribe link, and you can stop it at any time by emailing technical@careequip.co.za. We act on that immediately.

Cookies and tracking

This website sets no cookies of its own, and we do not use any analytics or advertising trackers. We do not track you across other websites and we cannot build a profile of you from your browsing.

The site does load fonts and styling from Google Fonts and the Tailwind CDN. As with any file your browser fetches from another server, those providers can see your IP address when the page loads. They provide no visitor information back to us. Our own server keeps ordinary security logs, which include IP addresses, for a short period.

Children

This website is aimed at adults. We do not knowingly collect information about a child through it. Where we supply equipment for a child, we deal with the parent, guardian or caregiver who is arranging it. If you believe we hold a child’s information without proper authority, tell us and we will delete it.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top. Where a change materially affects you, we will tell you directly.
